Sub : Annual Maintenance Contract
This office intends to enter into comprehensive annual maintenance contract (AMC) for one year w.e.f 22.7.08 for our 7 office PCs. All the 7 PCs are in running condition and covered under AMC till 21.7.08. You are therefore requested to send your quotation to this office on or before 30.6.08. The details of PCs are as follows:

TERMS AND CONDITION
1. Service Location Centre : (a) The Firm will supply list of locations where the service centre of the firm is located.
2. Maintenance Clause : (a) The firm should quote comprehensive maintenance rates, along with parts including repair/replacement of printer head. (b) The firm should provide maintenance once in a month without any call from user. (c) The firm should attend the machine within 24 hours for the call. (d) The firm should rectify the fault within maximum period of 3 working days.
3. Terms of payment : (i) The payment will be made at the end of each quarter subject to satisfactory maintenance. (ii) If the machine remains unserviceable for more than three working days, deduction from the payment will be made at double the rates of contract on pro-rata basis for the down period including three grace days.
4. Termination clause : The contract may be terminated after giving one month’s notice from either side.
5. Discount clause : Tenders must attach a list of Govt. offices/Autonomous bodies in which the maintenance contract for the PCs of any make has been executed giving following information: (1) Telephone No. of each such office with full correspondence address. (2) The rates at which the maintenance contract has been executed.
